Privacy Policy.
How we handle information collected through varstan.com and the QuickBooks Online integrations we build for clients.
The short version
- When you connect QuickBooks Online to a VarStan integration, we access only the accounting data needed to do the work you engaged us for.
- We do not sell your data, use it for advertising, or share it outside the engagement except as described below.
- You can disconnect at any time from QuickBooks, and our access stops immediately.
1. Who we are
VarStan Advisors ("VarStan," "we," "us") is a CPA firm providing bookkeeping, tax, and advisory services. This policy explains how we handle information collected through varstan.com and through the software integrations we build and operate for our clients, including integrations that connect a client's systems (such as an online store) to Intuit QuickBooks Online.
2. Information we access through QuickBooks Online
A VarStan integration connects to QuickBooks Online only after an administrator of the QuickBooks company authorizes it through Intuit's sign-in. Depending on the integration, we may read or write:
- Company information, such as company name and settings
- Chart of accounts
- Customers and vendors, including names, contact details, and billing and shipping addresses
- Products and services, including names, SKUs, prices, and inventory quantities
- Sales transactions, such as sales receipts, invoices, payments, refunds, and related tax amounts
We do not request access to payroll, bank login credentials, or payment card numbers.
3. How we use the information
We use connected data only to provide the services our client engaged us for, for example:
- Syncing orders, customers, and products from the client's systems into QuickBooks Online
- Keeping records consistent between systems and reconciling them
- Diagnosing and fixing integration errors
- Delivering bookkeeping, tax, and advisory work under the client's engagement letter
We do not sell personal information, use it for advertising, or use client data to train AI models.
4. Where the information is stored
Most integrations run on the client's own platform. In that case, the QuickBooks access tokens and synced records stay on the client's server. Where VarStan operates part of an integration itself, we store data in access-controlled systems. All data moving between systems and QuickBooks Online is encrypted in transit.
5. When we share information
We share information only:
- With the client who owns it, and with people the client authorizes
- With service providers that help us deliver our services, such as hosting and software providers. They are bound by confidentiality obligations and may use the data only on our behalf.
- When required by law, regulation, or valid legal process
As a CPA firm, we follow the AICPA Code of Professional Conduct on client confidentiality. We use or disclose tax return information only as permitted under Internal Revenue Code section 7216 and its regulations, including with the client's consent where required.
6. Security
We protect information with administrative, technical, and physical safeguards appropriate to its sensitivity. These include encryption in transit, limited access based on role, and secure handling of credentials. We maintain a written information security program consistent with the Massachusetts data security regulations (201 CMR 17.00).
7. How long we keep information
We keep client data for the length of the engagement and afterwards only as long as professional standards or law require. When an integration is disconnected, its QuickBooks access tokens can no longer be used, and we delete any copies we hold.
8. Disconnecting an integration
A QuickBooks Online administrator can disconnect a VarStan integration at any time. In QuickBooks, open the apps or integrations page, find the integration, and choose Disconnect. You can also email us and we will disconnect it for you. Access stops as soon as the connection is removed.
9. Information collected on varstan.com
When you contact us, schedule a call, or use our calculators, we may collect the information you enter, such as your name, email address, and message. Our site may use cookies and similar tools to keep it running and to understand how it is used. You can control cookies through your browser settings. Calculator inputs are processed in your browser and are not sent to us unless you choose to share them.
10. Your choices and rights
You can ask us to access, correct, or delete personal information we hold about you, subject to our professional and legal record-keeping obligations. To make a request, contact us using the details below.
11. Changes to this policy
We may update this policy from time to time. The effective date at the top shows when it last changed. If a change materially affects how we use data from a connected integration, we will notify affected clients.
